SCHEDULE OF PROCEEDINGS, 1896-1918

DESCRIPTION: The Schedule of Proceedings consists of two books. The first covers the years 1896 thru 1916 and contains handwritten entries; those in the second book, covering the years 1915 thru 1918, are typewritten. Both books each contain a section of chronological entries recording each action taken on a particular case, which is entitled "Proceedings", and a second section giving information about the crimes committed by a particular prisoner.
Applications were submitted by prisoners for pardons, paroles, terminations, and commutations. An application might be granted, denied, or continued until a later date by the board. Many prisoners submitted several applications, so that there are entries for some prisoners that begin in book one and then continue in book two. If an application was denied under one category, prisoners often applied again under another, or they might request a rehearing under the same category. A new set of entries begins under each separate case filed, and it is possible that an individual filed more than one case. It was not uncommon for a prisoner to be released under a different status than that for which he applied. For example, a prisoner might have requested a parole and instead received a date for termination of sentence. Dates on which reports from judges and other officials were recevied by the Board is included in the record of each case.
Entries in the other section include the following information: prisoner's name; crime; date of conviction; county where convicted; district court where the case was tried; district judge presiding at the trial; the name of the prosecuting attorney; and the sentence received. This section in book one also contains the prisoner's file number (this may refer to a file kept by the Board of Pardons). In book two, this section includes "Recomendations" which, when they were used, usually suggested a sentence somewhat shorter than the maximum sentence possible.
Entries for prisoners who had contact with the Board during 1918, and also those for prisoners who were serving very long sentences, had notations that stated "Transfered to card file", suggesting that after 1918 a card file replaced these books for documenting the proceedings of the Board.
ARRANGEMENT: The Schedule of Proceedings is arranged chronologically by day, month, and year of entry. Each book contains a separate section of data on prisoners that is arranged alphabetically by prisoner's name.

Series 80460, CORRESPONDENCE, has a variety of documents which give personal insights into the cases of many of the prisoners. MINUTES of the Board of Pardons, series 332, contains summaries for the hearings of these cases.
FINDING AIDS: There are indexes at the beginning of each book which list each prisoner in alphabetical order, along with the page where data is recorded about his conviction, applications submitted, and the result of his appearances before the Board of Pardons.
